Circulator Declarations

For Illinois, the shorthand is the

  1. first letter of the state of notarization above the circulator's printed name
  2. first letter of the county
  3. first letter of the first name
  4. first letter of last name
  5. first digit of house number
  6. first letter of street name
  7. first letter of city
  8. first letter of county of residence (which appears after the zip code)
  9. first letter of state written in place of Illinois
  10. full 5-digit zip code

Ignore any state written next to the city. That isn't required. We only care where it says in the State of ____. If Illinois is preprinted and the address is not from Illinois, then it should be crossed out and the correct state written above. If the address is not in Illinois and they did not write the correct state, enter a dash for the state. As always, if any of the items in the shorthand are missing, enter a dash in place of the letter or number.

If the name and street address are both missing, enter nothing but a single dash and save without doing anything else, not even looking at the notary. If the zip code is not 5 digits, enter a single dash in place of the zip code, not 5 dashes. You will not get an error either way on this, so this is only important to save you input time on zips.

Signatures

Printed name is not required if signature is overtly readable. No -n0 unless there is no name that can be read from the legal signature.

If the signature is printed and not cursive, use -s0 on this job. It is considered cursive if at least three letters are connected. Peer reviewers, lean toward the original tag if on the fence.

County is required and must match unless it is preprinted. However, it is fixable, so use -o# for missing county or if the county does not match and not preprinted. Treat [Chicago] the same as if it were [Cook]. Chicago county matches Cook County.

City is required, but zip is not.

If you could soft match based on near address rule, tag it as -a#, a deficient hard match. Likewise, if the street is abbreviated, also tag it as -a#. On the client's end, these are fixable deficiencies.

If you see something like 10S141 Suffield Dr or 23W130 Woodcroft Dr, 10 and 23 are the house numbers. The S141 and W130 are some sort of route number for the street. You cannot Smart Search those. Use custom search.

RFD addresses require a street name. RFD is not a valid street, but RFD Vail is.
